Assistant
If your workspace has it, an Assistant button sits at the bottom corner of
every portal page (or press Ctrl+J, ⌘J on a Mac). For a longer session
open Assistant under Me in the sidebar (/portal/assistant): a full page
with your earlier conversations, search, rename and delete, and a bigger
message box. Type what you want in your own words:
- "What's my leave balance?"
- "How was my attendance in October?"
- "Show my latest payslips"
- "What loans do I have, and can I apply for another?"
- "Where is my expense claim from last week?"
- "Apply for annual leave on 15 November — my cousin's wedding"
- "Cancel my leave on the 20th"
- "I forgot to clock in yesterday — mark me present"
- "Claim 4,500 for the client lunch on Tuesday"
- "Request a salary certificate for my bank"
- "Here is my daily report: …"
It answers in the language you use the portal in.
What it can see
Only what you can see: your own profile, leave, attendance, holidays, payslips, tax certificates, loans, expense claims, assets, HR letters, contract, appraisals, tasks and reports. It reads them the same way the pages do, as you. If you manage a team, it also sees what your team pages show. It cannot look at anyone else's record, and it will say so if you ask. It never shows identity numbers, bank details, addresses or phone numbers, not even your own. Every card has an Open in the app link to the page. Links in a reply use your workspace's own web address, and a PDF (a payslip, a letter, a contract) opens in a new tab under your own sign-in.
Requests need your confirmation
Whatever you ask it to do — apply for leave or cancel it, fix a day's attendance, claim overtime or an expense (or withdraw a claim), apply for a loan, request a letter (or withdraw the request), start or finish a task, file your daily or sales report, save or submit your self review in an appraisal — nothing is sent straight away. The assistant checks your request the way the leave form would — the days it counts (holidays and your weekly offs are skipped, unless your policy's sandwich rule applies), your balance before and after, whether a document is needed — and shows you a card. Press Confirm to submit the request to your manager, or Cancel to drop it. A card you leave alone expires after ten minutes.
If a leave type needs a document (a medical certificate, say), the assistant tells you and the request goes through the Leave page instead.
A self review card lists every competency with the rating you gave and the weighted total. A submitted self review must rate every competency and cannot be changed afterwards; ask for a draft if you are not finished.
If you manage a team
If your role lets you approve your team's requests, the assistant can prepare those decisions too: approve or reject a leave application, a regularisation, an overtime claim or a team expense claim, and grade a task. Each is a card you confirm, showing the request as your approval page shows it. The same rules apply as on the page: you cannot decide your own request, one outside your team, or one already decided.
AI credits
Each message uses some of your workspace's AI credits. You may have a monthly limit of your own; the line under the message box shows how many credits you have used this month and your limit.
- When you reach your limit, the assistant tells you; the credits renew on the 1st, or an admin can raise your limit. Your earlier conversations stay readable.
- When the whole workspace has used its credits for the month, the assistant says so; your HR team or administrator can add more.
- If the assistant is switched off for you, the button does not appear and the Assistant page says "The assistant is not switched on for you. Ask an admin to turn it on in your employee record."
Limits
- A daily message limit, 50 by default. At the limit the assistant says "You have reached today's limit of 50 assistant messages."
- 40 messages in one conversation. After that it says "This conversation is full. Start a new one."; press + (or New chat on the full page) to start one.
Tips
- Give it the leave type, the dates and your reason in one go and it will prepare the card straight away. If anything is missing it asks.
- Dates can be written any way you like — "next Friday", "15 Nov", "the 15th to the 17th" — and it tells you the exact dates it understood before preparing anything.
- Tables come straight from your records. If the assistant withholds its summary, the data is still in the cards above it; ask again.
- Earlier conversations are under the clock icon; + starts a new one. Conversations are yours alone and are deleted after a while.
